An overview of actions and objectives for the year ahead.
Core objective 3: AiB building space
In 2025, the announcement of the closure of Russell House offered AiB an opportunity to make better use of its building by integrating the existing staff into Kilwinning.
AiB commenced work with Scottish Government Estates team and the new tenants, to establish formal arrangements.
From 6 April 2026, the new co-tenants will occupy a full wing of the AiB building.
Corporate risks
Shared services
There is an opportunity to streamline processes of all the tenants by establishing shared services that will benefit all. A working group will be established to investigate these opportunities and ensure the necessary resources are in place should these proceed.
The potential areas of shared services are:
- mailroom facilities – incoming and outgoing mail
- printing and scanning
- reception services
- building management
- IT hardware
- staffing mobility
Budgeting requirements
Once shared services are in place a review will be undertaken to establish appropriate contractual arrangements to manage them effectively. A Memorandum of Terms of Occupation (MOTO) will be formally signed.
Space constraints
Co-tenancy will reduce available space for AiB staff, including access to shared meeting rooms, communal areas, and parking facilities. This will be monitored and reviewed as the year progresses.
Organisational opportunity
AiB has the chance to optimise the buildings co-tenancy by:
- establishing and embedding the corporate and IT shared service requirements in collaboration with the new co-tenant
- ensure existing AiB functions and resources have the capacity to meet shared service needs, whilst identifying any potential impacts on finance and procurement
2026-27 targets
- continue working with the new co-tenant to understand their current and expected requirements – establishing where a shared service using AiB staff or function will bring best value
- gain a knowledge of the co-tenant's IT requirements and whether AiB will manage links to the SCOTS network and/or provide IT support
- develop a full cost framework for managing rental income balanced with shared service expectation
- update AiB’s emergency and business continuity requirements in line with new co-tenants
- ensure pending mail volumes of new co-tenants are known prior to implementing new digital mailroom processes, and make any necessary arrangements to absorb higher volumes of mail
