Three year strategy setting out how we will communicate effectively with all who use our services


Internal communications

A business development showcase event provided a valuable opportunity to gather feedback from colleagues regarding what matters most to them when it comes to internal communications. Insights from this have helped shaped our main internal communication channels going forward.

Based on colleague feedback, the following channels have been identified as key for effective communication within the agency.

Viva Engage

The primary channel for informal, internal communication and staff interaction. Everyone can create their own posts, while agency-wide messages will be shared with all staff members. Everyone will receive an alert via Microsoft Teams when an agency-wide message is posted from the communications team.

Groupcall

Introduction of Groupcall - a tool for urgent, time-sensitive communication, used in the event of major incidents. It will be used infrequently but is an essential resilience capability for delivering all-staff messages about emergencies, such as building issues or cyber security threats.

Saltire

We continue to have responsibility for our own version of the Scottish Government intranet – Saltire. This strategy will encourage a review of the existing content with subject matter experts, improvements to the current homepage layout based on analytics and the development and implementation a review and retention policy. The aim is for all colleagues to recognise Saltire as a central hub of AiB and Scottish Government information and resources which is easily retrievable, accessible and useful to their role.

Email

All staff emails will be used via the AiB communications mailbox to communicate formal, business-related matters. This will be exclusively used for messages requiring a formal tone or staff response, such as updates on initiatives like the flexible working pilot.

Staff newsletter

A regular staff newsletter will continue to be produced which encourages less formal topics and articles, including updates from staff working groups like Health and Wellbeing and Working Environment, staff moves and upcoming events. The digital newsletter will be shared via Viva Engage and contributions from staff are welcomed.
